Casino payout blocked: here’s how to deal with it

You’ve requested a withdrawal from an online casino, but the money isn’t appearing in your account. The status in your player account remains ‘pending’, customer service is asking for documents again, or your entire account has suddenly been blocked. This is frustrating, but a delayed payout doesn’t automatically mean the casino is refusing to pay.

A withdrawal may be delayed due to a standard processing time, an identity check, a verification of the payment method or a technical issue. There may also be an investigation into a possible breach of the terms and conditions. With an illegal operator, there is also the risk that the delay is primarily an excuse not to pay out at all.

The difference between these situations determines what action you should take. If you make accusations straight away or initiate a random chargeback, you may complicate the case. Conversely, if you simply wait without gathering evidence, you may lose important information. This step-by-step guide will help you identify the cause, build a comprehensive case and handle your complaint through the correct Belgian channels.

When is a casino payout genuinely delayed?

Not every withdrawal is processed immediately. The processing time depends on the payment method, the casino’s internal checks and the bank or payment service provider receiving the funds. An e-wallet may be faster than a traditional bank transfer. Weekends and public holidays can also cause delays, particularly if the operator approves withdrawals manually or if the bank only processes transactions on working days.

You should therefore first check the casino’s terms and conditions or payment page. Look for the operator’s processing time and distinguish between that internal timeframe and the time a bank subsequently requires. ‘Processed within 24 hours’ does not always mean that the money will be in your bank account within 24 hours. It may mean that the casino forwards the payment to the payment service provider within that period.

If the stated timeframe has elapsed without payment or a concrete explanation, then the withdrawal is indeed delayed. The same applies if the status keeps changing, documents are repeatedly rejected without a clear reason, or customer service only provides standard replies. From that point onwards, it is wise to document everything in writing.

Identity verification is the most common cause

A legal casino must know to whom it is paying out a player’s balance. Even if you have previously been able to make deposits without any issues, additional verification may be carried out when you make your first withdrawal or when withdrawing a larger amount. The operator may ask for proof of identity, proof of address, a bank statement or proof that the payment method used is in your name.

Such a KYC check – short for ‘Know Your Customer’ – is not in itself evidence of malice. The check helps to prevent identity fraud, account takeover and money laundering. The problem arises when the casino remains unclear about which document is missing, keeps requesting new documents unrelated to the withdrawal, or fails to provide reasonable updates on the progress.

Before sending it, check that the document is fully legible and still valid. Your name, address and date of birth must match those on your player account. A cropped photo, an illegible scan or an old address may lead to rejection. Only send sensitive documents via the secure upload section of the licensed provider. Never share your password, PIN, full card number or itsme code with a member of staff.

The payment method or account holder does not match

Online casinos prefer to process withdrawals via a method belonging to the same player. If you have made a deposit using a card or bank account belonging to a partner, family member or company, the operator may temporarily hold up the payout. A discrepancy between the name on your casino account and the name on your bank account may also trigger additional checks.

Some payment methods can only be used for deposits and not for withdrawals. In that case, the casino will ask you to register and verify an alternative account. This is not automatically suspicious, but do ask for the instructions to be confirmed in writing. Never deposit extra money just to supposedly ‘activate’ a new withdrawal method. A demand to make another payment before you can receive your existing balance is a serious warning sign.

Security checks or suspected breaches

A withdrawal may also be blocked if the operator detects unusual activity. Examples include multiple accounts in the same person’s name, the use of a VPN, a sudden change in login location, payments made by third parties, chargebacks or indications that an account has been compromised. An investigation into collusion, abuse of a promotion or manipulation of a game may also lead to a temporary block.

That does not mean that every suspicion is justified. Ask the casino which provision of the terms and conditions is being investigated and what further information they require from you. An operator cannot always disclose all detection methods due to a fraud investigation, but must ultimately make it clear what will happen to your account and balance.

During an investigation, do not create a second account and do not attempt to bypass the block using a different email address or device. This may be regarded as a new breach. Continue to communicate within the same email thread so that a single chronological record is created.

Technical faults and manual checks

Sometimes the cause lies not with the player. A technical fault with the payment provider, maintenance on the casino platform, an incorrect transaction status or a manual check can delay the withdrawal. With a legitimate operator, such a technical issue should ultimately be resolved, but customer service must be able to tell you whether the payment has been approved, rejected or not yet sent.

Ask for the internal transaction number and, as soon as the casino confirms that the money has been sent, ask for a payment reference. With this information, your bank or payment service provider can carry out a more targeted search. Simply being told ‘the money is on its way’ is insufficient if the normal processing time has long since passed.

First, check whether the casino is legal in Belgium

Before you lodge a complaint, you need to know which company you are dealing with. A Belgian licence does not automatically guarantee a quick payout, but it does provide you with a clearer legal framework and an official complaints procedure. Check the exact domain name, not just the brand name. An illegal website may imitate the name, colours or design of a well-known casino.

To do this, use our up-to-date list of legal online casinos in Belgium and compare the web address with the licensing information from the Gaming Commission. Also read about how to tell the difference between a legal and an illegal casino. A foreign licence alone does not automatically authorise a website to serve Belgian players.

If the domain is on Belgium’s blacklist of illegal casinos, the situation is more serious. Such a provider falls outside the scope of normal Belgian consumer protection. The site may collect documents, demand additional payments or block access to your account without a proper complaints procedure.

Step 1: document all evidence immediately

Take screenshots before any information disappears. Keep a record of your current balance, the withdrawal request, its status, the transaction number and the date on which you submitted the withdrawal. If possible, download your deposit, gaming and withdrawal history. Also keep a copy of the terms and conditions as they appear on the website at that time.

Make a note of the payment method you used and check your bank statement. Save emails and full chat histories with customer service. A single screenshot of one sentence provides less context than a complete conversation with the date and time. Also, make a note of the operator’s legal company name, address and licence number. This information is often found in the terms and conditions or at the bottom of the website.

Don’t let your file become a collection of dozens of unsorted images. Put the events in chronological order and link each piece of evidence to a date, amount or conversation. This makes it much easier for the operator and, if necessary, the ombudsman service to understand what has happened.

Step 2: ask for the exact reason and a specific timeframe

Contact customer services in writing. State your player number, the amount, the date of the withdrawal and the transaction number. Don’t just ask when your money will arrive; ask specific questions. Has the withdrawal been approved internally? Which document is missing? Which condition is being verified? Has the money already been sent to the payment service provider? When can you expect the next substantive update?

Ask the operator to respond within a reasonable timeframe. Fourteen calendar days may be a practical timeframe for a stalled case, but it is no guarantee that every case will be resolved within that period. An ongoing fraud or anti-money laundering investigation may require more time. In such cases, the casino must clearly state that an investigation is underway and whether any further action is required on your part.

Step 3: Submit the necessary documents securely

If the operator requests legitimate verification documents, submit them as quickly and completely as possible. If in doubt, ask which parts must remain visible and which sensitive information you may redact. Use only the casino’s official secure channel.

After uploading, ask for confirmation of receipt. If a document is rejected, ask why. ‘Invalid’ is too vague if it is not explained whether the document has expired, is illegible, incomplete or not recent enough. Do not repeatedly send different identity documents to separate email addresses without knowing who is receiving them.

Step 4: submit a formal complaint to the operator

If standard contact does not lead to a resolution, submit a formal complaint. Use the official complaints form or the email address specified in the terms and conditions. State in the subject line that this is a formal complaint regarding a non-processed payout.

Describe briefly and factually what has happened. State the amount, the relevant dates, the payment method and any replies you have already received. Attach only the necessary supporting documents and specify what resolution you expect: processing of the withdrawal, a specific explanation for the hold, or confirmation of the status of the remaining balance.

Our detailed guide on lodging a complaint against a legal online casino also includes a sample letter and a list of the supporting documents you should keep.

Step 5: Contact the Consumer Ombudsman Service if negotiations fail

According to the Gaming Commission’s official guidance on unpaid withdrawals, you must first seek a solution with the operator concerned. The Gaming Commission states that it is not authorised to intervene directly in individual disputes between a player and an operator. If no solution is reached, the Commission refers the matter to the Consumer Ombudsman Service.

The Ombudsman Service mediates free of charge and impartially between consumers and Belgian businesses. You must, however, be able to demonstrate that you have first attempted to resolve the dispute with the casino yourself. The terms and conditions and procedure of the Consumer Ombudsman Service explain what information is required and when a case is admissible.

Include your original complaint, the casino’s response, your transaction records and a brief timeline of events. Submit the case against the legal entity behind the casino, not just against the commercial brand name. Mediation is not a court ruling and does not guarantee payment, but it does offer an official out-of-court route.

When should you report the matter to the Gaming Commission?

The Gaming Commission oversees compliance with the Belgian Gaming Act. If you suspect a systemic breach, you can make a separate report regarding this. Examples include disregard for EPIS, access by minors, prohibited games, issues with statutory limits, or an operator potentially breaching the terms of their licence.
Make a distinction between such a report and your personal claim for money. A report may trigger supervision or an investigation, but does not automatically ensure that your balance will be paid out. For individual consumer disputes, consultation with the operator, followed by the Consumer Ombudsman Service, remains the appropriate course of action.

What if it is an illegal casino?

Your options are more limited in the case of an illegal foreign provider. Stop making deposits immediately, even if the site claims that a tax, verification payment or VIP upgrade is required to release your winnings. Keep all evidence and, in the event of unauthorised debits or suspected card fraud, contact your bank or card issuer straight away.
A chargeback is not a general way of recovering lost stakes. Provide your bank with the full and accurate facts and ask what procedure applies in the event of fraud or a payment you did not authorise. In cases of identity theft, forged documents or other potential criminal offences, you may need to report the matter to the police. What should you definitely not do during a payout dispute?

Do not deposit any extra money to ‘unlock’ your withdrawal. Do not share your password, itsme code or full card details. Do not open a second account to circumvent a block, and do not immediately threaten to make public accusations before you have established the facts. Do not cancel a withdrawal only to continue playing, unless you choose to do so consciously and without pressure.
Do not keep depositing money during the dispute in an attempt to recoup your losses. A delayed payout can cause a great deal of stress and encourage impulsive behaviour. If you notice that the dispute is prompting you to gamble more, read up on the key signs of problem gambling and consider taking a temporary break or seeking additional help.

How long can a casino payout take?

There is no single standard processing time that applies to all casinos and payment methods. Check the published terms and conditions, the chosen payment method and any verification requirements. If the promised processing time has elapsed, make a written enquiry asking for the reason, details of any outstanding action and a specific new date.

Can a casino request additional documents?

Yes, a licensed operator may require additional documents for identification, fraud prevention and checks relating to financial transactions. However, the request must be made via a secure channel and be relevant to the check in question. Ask for an explanation if documents are repeatedly rejected without a clear reason.

Do you lose your money if your account is blocked?

Not automatically. An account block may mean that an investigation is underway whilst the balance is retained. Request, in writing, the reason for the block, the exact balance, the status of outstanding bets and how any legitimate credit will be handled.
A final decision regarding fraud or a breach may, however, have consequences in accordance with the applicable terms and conditions.

Can the Gaming Commission enforce my payout?

The Gaming Commission states that it does not have the authority to settle individual disputes between players and operators. Its role is to monitor compliance with the Gaming Act.

What is the best first step to take if a withdrawal has been blocked?

First, check the standard processing time and the legitimacy of the provider. Then, record your balance, transaction details and correspondence. Ask the operator in writing for the exact reason and only provide any necessary verification documents via the official secure channel.
This way, you build up a case file from the outset that will remain useful should further mediation prove necessary.
